Guest arrived before cleaning finished? A host's plan

An early arrival is not a readiness check. Confirm the agreed time, protect the turnover and give the guest a clear update before approving access.

Guest arrived before cleaning finished? A host's plan

The guest is outside with luggage, the cleaner is still inside, and a message asks whether they can come in now. The immediate task is to establish what was agreed and what is actually ready. Sending an entry code cannot answer either question.

This is a response plan for the live handover, rather than a pricing guide. The times and message below are illustrative, not a customer case. Use the property's local time throughout the conversation.

Establish which arrival time was agreed

Read the reservation and the latest conversation before replying. A guest's estimated arrival, an early-access request and a host's explicit confirmation are different things. If a colleague already approved an earlier time, treat that as a commitment to resolve, not as an unapproved request.

Airbnb tells guests to request early check-in from their host and await confirmation. Check the actual agreement for this reservation instead of assuming that your usual check-in time settles it.

Confirm which property and guest are involved, who is cleaning it and whether anyone has already sent a different instruction. Ask one person to own the response so a co-host does not independently say yes while you are asking the guest to wait.

Ask for a usable status, not “nearly done”

Contact the cleaner directly. Ask what is unfinished, what still needs checking and whether they can give a reliable next update. Bedrooms made up while the bathroom is unfinished do not establish that the home can be handed over.

For your normal turnover checklist, check the bed and linen, bathroom, kitchen, bins and working access. Add any property-specific issue that could prevent the stay from starting. This is an operational handover check, not a substitute for qualified maintenance when something is faulty.

RentTools brings connected calendars, manual reservations and cleaning assignments into one workflow. Use the schedule to identify the relevant turnover and assigned cleaner, then obtain current confirmation from that person. A row in a schedule is a plan; it does not by itself confirm that the home is ready.

Send an update with a clear next checkpoint

Acknowledge the arrival and state what you know. Avoid a succession of optimistic estimates that each become another broken promise. If completion is uncertain, commit to the next message instead of inventing a completion time.

For example, suppose the agreed check-in is 15:00, the guest arrives at 14:10, and readiness is not yet confirmed. An illustrative message is:

Thanks for letting me know you have arrived. Your agreed check-in is 15:00. Cleaning has not yet been confirmed complete, so please wait for my confirmation before entering. I will update you at 14:30, even if the property is not ready then.

The 14:30 checkpoint is a communication promise, not permission to enter. Send that update even if you are still waiting for the cleaner. If earlier access was already agreed, acknowledge that agreement explicitly rather than replacing it with the standard time.

Keep luggage drop and access as separate decisions

Do not offer bag storage just to end an uncomfortable conversation. First confirm an appropriate location, who will receive the bags and when they can be collected. A cleaner may have no suitable place to keep luggage while working. Do not send a guest into the turnover area on that assumption.

Self check-in also needs coordination. Airbnb describes self check-in as access after the designated check-in time; having received instructions does not settle an early-arrival request. Check the access arrangement you actually use and communicate any agreed change clearly. Do not assume RentTools changes a lock's activation times.

Confirm readiness before giving the final go-ahead

Get a direct completion report and have the responsible person finish the handover check. Then send a clear approval with the relevant arrival instructions. Tell the cleaner that the guest has been cleared to enter so both sides understand that the handover is complete.

If the home will miss the agreed time, say so promptly, explain what remains unresolved and offer only arrangements you can deliver. Keep the conversation in the reservation's message thread. If you cannot provide the agreed accommodation, contact the booking platform for help with that reservation instead of guessing about refunds or relocation rules.

Fix the handover that caused the confusion

After arrival, record which fact was missing: the guest's updated arrival, a colleague's approval, the cleaner's status or the final inspection. Assign that checkpoint for the next turnover. Use the turnover-window guide to review the time available; if travel between properties is involved, check the two-rental cleaning route.

RentTools message templates can help you prepare consistent wording to copy and send. They do not replace checking the current facts or sending the update you promised. Set up your properties and calendars, identify tomorrow's handovers and agree who confirms readiness before anyone approves early entry.
