Booking cancelled: should the cleaner still come?

A cancellation changes the reservation, not necessarily the condition of the home. Decide what cleaning remains, check manual records and confirm the revised visit.

Booking cancelled: should the cleaner still come?

A cancellation notification arrives and you are about to tell the cleaner not to come. Before sending it, ask what that visit was meant to put right. The cancelled guest may never have entered, but the previous guest's laundry could still be waiting.

The decision is about the property's condition and the work still required. A reservation status alone cannot establish either. This guide covers that operational decision; it does not calculate refunds or decide what you owe a cleaner under your agreement. All examples below are hypothetical.

Confirm cancellation and actual use separately

Open the reservation on the platform where it was made. Distinguish a guest saying they intend to cancel from a completed cancellation. Record the affected stay and whether the change concerns a future arrival or someone who has already entered the property.

Then check the most recent confirmed clean. Has anyone used the home since then: the guest, an owner or a contractor? Were beds, towels or kitchen facilities used? Has someone inspected the home, or are you relying only on the absence of a check-in message?

If use is uncertain, assign a check before deciding the home needs no work. Ask the on-site person to confirm access and condition at a suitable time. Do not send a cleaner into a home that might still be occupied without clarifying the visit with the responsible host and occupants.

Airbnb says it releases reservation dates when a guest cancels. That is a calendar action, not a report that the home is empty, inspected or ready for another guest.

Choose between keeping, changing and releasing the visit

Use the remaining work to choose a concrete instruction:

  1. The home was used after its last clean. Keep the necessary cleaning and confirm when the property will actually be accessible. If departure changed, move the visit to the real work window instead of retaining a checkout time that no longer applies.
  2. Nobody used the home, but preparation is unfinished. Keep or revise that work. Laundry from an earlier stay, missing supplies or a pending readiness check do not disappear with the cancelled booking. Describe the remaining tasks rather than ordering another complete clean by default.
  3. Nobody used the home and readiness is confirmed. Review whether the visit can be released or changed to an agreed check. Contact the cleaner before treating the slot as free; the service arrangement and any cancellation terms remain a separate conversation.

Illustrative example: the previous guest leaves on Monday. A Monday-to-Wednesday booking is cancelled before arrival, and the next confirmed guest arrives on Tuesday. You may no longer need a Wednesday departure clean for the cancelled stay, but Monday's unfinished turnover still needs completing before Tuesday. Removing every cleaning instruction associated with the cancelled dates would lose necessary work.

Use the turnover-window guide if the remaining work must fit before a replacement arrival. Availability and cleaning capacity need checking together before you promise that arrival time.

Review calendars and retained manual records

Check the next confirmed arrival on every channel you use. A cancellation can make dates available for a replacement booking while the team is still revising its work plan. Recheck the schedule if another reservation appears.

Airbnb's calendar-sync guidance explains that exported changes depend on the receiving website's settings. A cancellation at the source does not prove every connected view has refreshed. Inspect the current status and the latest update, rather than assuming that a disappearing calendar bar completes the process.

In RentTools, connected calendar information and manually created reservations need to be reviewed separately. When a removed source event loses its link, a related manual reservation can remain; do not assume the manual record was deleted with the feed event. Check what it now represents before changing it, so you preserve useful guest records and avoid an obsolete operational entry.

Also inspect deliberately scheduled cleaning work. A separate cleaning instruction can still have a purpose even when the booking that prompted your review has disappeared. Use the cleaning-schedule overview to review the current plan, then confirm the actual work with your team. RentTools does not inspect the home or settle the cleaner's service agreement for you.

Send a decision the cleaner can act on

Make the update explicit: which property, which original visit, what work remains, when access is available and when the next guest is expected. Say whether the visit is kept, moved, reduced or released. Ask the cleaner to acknowledge the revised instruction.

For the hypothetical example above: “Please keep Monday's turnover for [property]. The cancelled stay does not need a Wednesday departure clean. Tuesday's arrival is still confirmed. Please confirm the remaining work and the completion time we agreed.” Replace the placeholder privately and check the dates against the real reservation before sending.

Replace any old printed or copied schedule your team still follows. Finish by recording who checked the home's condition, the cleaner's response and any unresolved task. For your next cancellation, open the affected property in RentTools and review the reservation and cleaning plan before removing the visit. The useful outcome is an agreed work plan, not simply one fewer row.
