A 2026 roundup of free property-management software for Airbnb and Booking.com hosts. Managed-free, self-host-free, DIY combos, and where each one breaks.

Free property-management tools for short-term rental hosts in 2026

A friend with three apartments asked me last month if there was anything free that does what Hostaway does. Short answer: not really. Longer answer is the rest of this post — the free tools that exist, what they actually do, and the silent limits you only find at property number two.

What "free" actually means here

The "free property management software" search results page is misleading. Most listed tools have a "free trial" that lasts 14 days, a "free plan" that bars the features hosts actually need, or a "free for one property" gate that turns paid the moment you grow. Worth separating the categories before going shopping.

  1. Freemium SaaS. A vendor runs the server and lets you use a small subset for free, hoping you upgrade. Smoobu is the cleanest example. AvaiBook used to be in this group; it now sits inside Booking Holdings and the free tier is harder to access than it was.
  2. Maintainer-funded SaaS. A small team or individual pays for the hosting and gives the product away. Usually built around a single feature (calendar sync, cleaning schedule). RentTools' managed instance at renttools.io belongs here. Sustainable as long as the maintainer can pay the bill.
  3. Open-source self-host. You get the code, you run the server, you pay the hosting. Free in software, not in time. The RentTools repo is in this group too; it ships with deployment scripts so you can run your own copy on a $4 droplet.
  4. DIY combos. Stitching together a calendar app, a spreadsheet, and an iCal converter. Free if you do not value your hours. Works at very small scale.

The right answer for a 1-2 property host is usually one of categories 2 or 4. The right answer for a 3-10 property host is usually category 1 or 3. The right answer above 10 properties is rarely free at all, but I will get to that.

Managed-free tools

Smoobu (free plan)

Smoobu is owned by SiteMinder since 2021 and is the most polished freemium option. The free plan is one property, with channel manager (Airbnb plus Booking via iCal), a basic guest messaging inbox, and a calendar view. Reviews import is paid. Direct booking website is paid. Multi-user access is paid. Reports are paid.

If you have one property and you mostly want a unified inbox and a calendar, the free plan is the most generous in the space. The catch is the 1-property cap. The day you list a second property you owe roughly €25 per month per property under their pricing as of writing — confirm the current number on their site because freemium pricing moves.

RentTools (managed instance)

Disclosure: this is the project the post lives on. I run renttools.io as a free-for-anyone instance on a single $4 droplet, paid out of pocket. The managed instance does the calendar sync between any two iCal-compatible platforms, cleaning schedule with a cleaner-only role, and guest data extraction from passport scans. Multi-property is supported. No artificial property cap.

The honest limits: I rate-limit the API and the iCal poll frequency to keep one user from saturating the free tier for everyone else. I do not have a 24/7 support team. AvaiBook

AvaiBook was a Spanish PMS that joined Booking Holdings in 2018. They had a meaningful free tier for years. The free option still exists in their pricing page but the conditions changed; last I checked it was capped at a small number of bookings per month and a single property. If you are a Spain-based host who lists primarily on Booking, it is worth a look. Outside that profile the free tier is restrictive enough that the two options above usually beat it.

Honourable mentions that are not really free

A few names show up in "free PMS" listicles that should not. Lodgify and Hostaway only offer free trials, not free plans. Tokeet's "starter" was discontinued. Hospitable (formerly Smartbnb) is paid only. If a comparison page shows them in a "free" column, the page is selling clicks, not info.

Self-host-free tools

RentTools (open-source)

Same product as the managed instance, but the code is on GitHub under MIT and ships with a scripts/install-build.sh for any Linux box with Node and SQLite. You give up the maintainer-paid hosting and gain unlimited rate limits, full data ownership, and the freedom to extend it. Total cost: about $4 a month for a DigitalOcean droplet plus a domain. Realistic for: a host comfortable on the command line. Not realistic for: a host who has never SSH'd into a server.

Other open-source options worth knowing about

The hard truth: there is no thriving open-source PMS ecosystem. A few projects exist on GitHub but most are abandoned, half-finished, or written by a single host as a personal scratch.

What I have actually seen used in the wild and would recommend even partially:

  1. ical-merger / ical-stitch scripts. Single-file Python or Node scripts that take N iCal feeds in and emit a merged feed out. Useful as a building block; not a PMS. You still need a calendar app to look at the merged feed.
  2. NextCloud + Calendar. NextCloud is a self-hosted productivity suite. Its calendar handles iCal subscriptions and could be glued together with cron jobs and the Tasks app to fake a basic PMS. Doable. Not pleasant.
  3. HomeAssistant calendar integrations. A surprising number of hosts run HomeAssistant for the smart-lock side of their property and bolt on calendar sync there. Real, but only worth it if you are already a HomeAssistant user.

The pattern: the open-source side of vacation-rental software is sparse because the addressable market of hosts who want the code is small. Most hosts want the result, not the source. If you are in the small group, the choice is usually RentTools or one of the script-level building blocks.

DIY combos using general-purpose software

This is the option that nobody in the PMS industry will tell you about because it makes them look bad on paper.

The basic recipe:

  1. Take the iCal export URL from each platform you list on. Airbnb is at Calendar → Availability settings → "Export calendar". Booking is in the extranet under Calendar → Sync calendars → "Export calendar". The detailed walkthrough is in the calendar sync post.
  2. Subscribe each URL into Google Calendar (or Apple Calendar, or Outlook). Each platform becomes a coloured layer.
  3. Manually copy any new booking from the inbound layer into a master "Bookings" calendar that you also export back to each platform.

Total cost: zero. Total time per booking: roughly 90 seconds. At 30 bookings per month, that is 45 minutes a month, or 9 hours a year, of manual copy-paste.

It works at one property. It is a chore at two. It is a ticket to a double booking at three because the manual step is the failure point. The reason I started writing software in the first place was because the spreadsheet-and-Google-Calendar version of this stopped scaling at property number three.

What every free tool does poorly

The shared weak points across every free option, regardless of category:

  1. Channel-manager API access. None of the free tools have direct integrations with the Airbnb partner API or the Booking connectivity API because access requires a partner contract that costs money and revenue share. Free tools sync via iCal, which has a 2-6 hour lag. Cleared up in detail in the double-booking post.
  2. Direct-booking website. The freemium SaaS options gate this behind a paid plan. The self-host options expect you to bring your own. If you want a direct-booking site, free is not the right path.
  3. Reviews automation. Auto-sending review requests, scraping reviews from each platform, displaying review widgets. All paid features on every freemium tool. Doable manually.
  4. Multi-user / team access. Sharing the system with a co-host or property manager is paid almost everywhere. RentTools' free tier supports it; Smoobu's does not.
  5. Long-term reporting. Year-over-year revenue, occupancy comparisons, channel mix analysis. Free plans show you the current month and maybe a chart for the last 90 days. Anything richer is paid.

If your operation needs any of these as a daily tool, free will hurt. If you need them once a quarter and can manually pull the data into a spreadsheet, free is fine.

When free is the wrong answer

Three patterns where I would tell a friend to just pay:

  1. Above 10 properties. The unit economics flip. A paid PMS at $25 per property per month is roughly $3,000 a year for 10 properties. The time cost of running a free stack at that scale (manually merging calendars, manually moderating reviews, manually pulling reports) is well above 100 hours a year. Pay.
  2. Operations with a paid cleaning crew of 3 plus. The crew needs a real schedule view, real notifications, real photo upload for the post-cleaning checklist. Free tools handle one of those well, none of them handle all three.
  3. Hosts at 90 percent occupancy who actually compete on direct bookings. Free tools cannot run a real direct-booking funnel. If you have nailed the marketing side of your listings, you have outgrown free.

For everyone else, free works. For most independent hosts with 1-3 properties on Airbnb plus Booking, the free options in this post will cover 80 percent of operational needs and the remaining 20 percent is doable in a spreadsheet on Sunday morning.

How to pick

The decision tree, simplified:

  1. One property, low volume. Smoobu free plan or the DIY combo. Smoobu wins on inbox quality; DIY wins on data ownership.
  2. One to three properties, want a real tool but not paying. RentTools managed instance.
  3. Three to ten properties, fine with the command line. Self-hosted RentTools.
  4. Three to ten properties, not fine with the command line. Smoobu paid (€25/property/month) is the cheapest credible option I would recommend. Pay for the time you save.
  5. Above ten or above 90 percent occupancy. A real channel manager: Hostaway, Lodgify, or one of the regional players. The iCal vs channel-manager-API post covers when the lag actually starts to bite.

One opinionated take

The free-tools landscape is a snapshot in time and the snapshot will look different in 18 months. The tools most likely to still be around in 2027 are the ones with a sustainable cost structure — which usually means a paid tier propping up the free tier (Smoobu) or a small, focused scope that one maintainer can run on $5 a month (RentTools).

Avoid free tools that promise a full Hostaway feature set on a free plan. The unit economics do not exist. Either the tool is venture-funded and will pivot when funding dries up, or the tool is misleading and the "free" is gated to the point of useless. The honest free tools are honest about being smaller in scope than the paid ones. That is the signal worth filtering on.

  • Is there an open-source clone of Hostaway?

    Not really. There are open-source pieces of what Hostaway does (calendar sync, basic CRM, scheduling) but no project I have seen recreates the channel-manager API integration that Hostaway sells. The API access is the moat, and APIs cost money to acquire.

  • Will the free RentTools instance stay free?

    Plan: yes. The hosting bill is roughly $5 a month and the project is a side-tool, not a business. If user count grows past what one droplet can serve, I will add donation or per-account paid tiers for higher rate limits before changing the free tier itself.

  • What about Beds24, Tokeet, or other names I have seen?

    Beds24 has a freemium tier that is technically free but heavily limited (calendar sync only, no inbox). Tokeet retired its free tier years ago. Both worth a Google before assuming the public pricing page is current; these vendors change pricing pages quietly.

  • Is Smoobu safe data-wise after the SiteMinder acquisition?

    SiteMinder is a public Australian company with an actual security program; the acquisition did not change Smoobu's data handling materially. The main risk in the free SaaS pattern is product-direction risk — if SiteMinder decides Smoobu's free tier hurts the upsell, it could shrink. That has not happened so far.

  • Can I self-host on a Raspberry Pi instead of a DigitalOcean droplet?

    Yes for RentTools. SQLite on an SD card is fine for a single host's volume. The cleaning-tooling and the cron job for backups all work the same. A Raspberry Pi 4 with 2 GB of RAM handles the workload comfortably.

  • My country has a regional PMS with a free tier — should I use that?

    Often yes. AvaiBook (Spain), Bnovo and Realto (CIS), and a handful of regional players know local platforms (Holu, BedsOnline, regional OTAs) better than the global names. If your business is country-locked, a regional tool with a free tier usually beats a global tool's free tier.
